For condo boards and the managers who work with them: a public website, a private portal where unit owners find the association’s records, and a board report that shows what is on file.

The owners-only records area

Records that belong to the unit owners.

A condo owner portal holds what a condominium keeps and its owners may ask for. Doorman’s board report follows the eighteen records of §718.111(12)(g)2, and these are a few of them. See all eighteen

  1. Declaration of condominium
  2. Structural integrity reserve study
  3. Inspection reports
  4. Building permits
  5. Director certifications
  6. Meeting recordings

Each record goes on the shelf for its category. Visibility is set per document, so a record can stay members-only, and protected information is removed before a document is uploaded.

For the board

A condo website
the board can keep up.

A condominium association’s website is easier to keep up when the board can see what is missing. The board report shows it.

  1. Open the board report

The eighteen condominium records, shelf by shelf: what is on file, how recent the newest upload is and what is missing.

  2. Upload into the category

Upload the document into its category and set who can see it, so the newest upload shows on the report.

  3. Post notices with a dated record

Owner-meeting and board-meeting notices carry their posting deadlines, and Doorman keeps a dated, unchangeable record of when each notice went up.

  4. Invite the unit owners

Owners sign in to the private portal by invitation. Members-only documents are served only after sign-in, through short-lived links, never from a public address.

Condominium association website FAQ.

What should a condominium association website include?

In Florida, a condominium association that manages 25 or more units keeps eighteen kinds of official records on a website or portal with an owners-only area, from the declaration of condominium to affidavits, under Fla. Stat. §718.111(12)(g). Our Florida page lists all eighteen. This is not legal advice.

What is the board report?

Doorman’s board report follows the eighteen records shelf by shelf: what is on file, how recent the newest upload is, and what is missing. Your board decides what to upload; the report shows what has not gone up yet.

How do unit owners get access to the records?

By invitation. Your team manages the owners and sends the invitations, and owners sign in to a private portal. Members-only documents are served only after sign-in, through short-lived links, never from a public address.

How are meeting notices handled?

Each notice keeps its deadlines and a dated, unchangeable record of when it was posted. Under §718.111(12)(g), the notice and agenda of a unit-owner meeting are posted at least 14 days before the meeting.

What does a condominium association website cost?
